Under the Freedom of Information Act 2000, I am writing to formally request information regarding the digital management and booking of council-owned assets (e.g., Community Centres, Halls, Libraries, Town Halls, Sports Pitches and Pavilions).

Please provide a response addressing the following:

1. Name of venue(s)

2. Number of bookable spaces

3. Total venue income from bookings last financial year (£)

4. What booking and management system (or software) does the Council currently use for its community venues?

5. What is the financial arrangement for this system? (Please specify any upfront setup fees, recurring annual license/maintenance fees, and any commission or transaction-based fees charged to the Council or the end-user).

6. When does the current contract for this system expire?

7. Which individual within the Council is responsible for the management and oversight of this contract? (please supply name and job role)

As such, the information you require can be found from publicly available sources and consequentially under Section 21 of the Act, we are not required to provide information in response to a request if it is already reasonably accessible.

3. Total venue income from bookings last financial year (£)

We do not hold this information in a readily available format, as it is disparate and spread across multiple different teams and it is not recorded specifically within an individual, site-wide booking system. As such we are not able to extract this information easily and would be required to review multiple sources of information to be able to retrieve and obtain this information manually. We are therefore unable to respond to your request, because it would take us over 18 hours to obtain this data, which would place a substantial and possibly unreasonable burden on resource and your request is therefore exempt under section 12 of the Freedom of Information Act (where the cost of compliance exceeds the appropriate limit).
